Marketing Coordinator

ESSENTIAL FUNCTIONS:

  • Coordinates all aspects of trade show logistics, including annual trade show calendar
  • Assists in creating and producing marketing collateral
  • Assists in preparing marketing and presentation materials for internal and external events
  • Updates website content at the direction of the CEO and CTO
  • Coordinates projects with outside vendors (such as design firms, printers, hotels) and manages those day-to-day relationships
  • Prepares and orders promotional material; manages inventory
  • Assists as needed in PR activities and advertising campaigns
  • Assembles and tracks metrics for marketing programs
  • Assists the CEO and marketing manager in administering their responsibilities, including coordinating information for the Board of Directors and expense reports
  • Plans, coordinates, and executes logistics for multi-faceted company meetings and events
  • Prepares highest-quality documents and presentations with direction from the Executive Team
  • Screens and coordinates phone calls, letters, and visitors for the CEO
  • Coordinates travel arrangements as needed with and without the company’s outside travel agency
  • Support for other selected projects, as needed
  • Performance requires physical attendance
  • Other duties as assigned

QUALIFICATIONS / SKILLS REQUIRED:

  • 5 – 7 years of progressive experience in marketing/administrative assistant positions
  • Ability to prioritize tasks and handle multiple projects simultaneously a must
  • Strong follow-up skills to ensure completion of tasks and communication to those involved
  • Ability to multi-task and handle projects that have a variety of deliverables
  • Must be able to self-organize workloads and manage and meet all deadlines
  • Ability to interface well with all departments and all levels within the company
  • Must be able to maintain the highest level of confidentiality
  • Strong attention to detail and accuracy is a must
  • Able to provide writing and editing support (samples are a plus)
  • Experience with calendaring, setting appointments and travel arrangements
  • Punctual, reliable, self-starter, shows initiative and good judgment
  • Able to thrive in a fast-paced organization
  • Ability to handle sensitive material concerning the organization and the executive’s role within the organization
  • Ability to represent and communicate on behalf of the executive in a professional and courteous manner
  • Strong computer skills
  • Strong aptitude for learning new skills and technologies
  • Strong proficiency in MS Word/Excel/Outlook/PowerPoint
  • Knowledge of Adobe Creative Cloud (InDesign, Illustrator, Photoshop)
  • Knowledge of WordPress and able to write basic HTML code is desirable
  • Experience in event planning and coordination, desirable (trade show logistical knowledge is ideal)
  • Experience in planning and executing employee relations events is desirable
  • Experience in CRM software such as SalesForce is a plus
  • Experience working with technology-based products/services, a plus
  • Excellent written and verbal communication skills
  • Associate’s or Bachelor’s degree is a plus
